Quick Steps
1) Find the Ringless Voicemail Workflow
Log in to the Church Fuel software.
Click Automations.
Use the search bar and type ringless.
Open the workflow named something like Ringless Voicemail V1.
If you do not see the workflow, reach out to Church Fuel support and they can add it to your account.
2) Upload Your Voicemail Audio
Inside the Ringless Voicemail workflow, click the Voicemail step.
Click Upload File.
Upload your audio file.
- MP3 is recommended and usually the safest format.
- The system will warn you if the file type is not supported.
Click Save Action, then make sure the workflow itself is Published.
Voicemail Best Practices
- Keep the message around 30 to 45 seconds
- Add about 2 seconds of silence at the beginning of the audio
- Start with a throwaway line in case the first second gets clipped
- Repeat the key details so the important info is not missed
3) Test It on Yourself First
Before sending to your whole list, test the voicemail on your own number.
Trigger the workflow for your contact and confirm:
- The voicemail drops correctly
- The audio starts cleanly
- The message is clear and not cut off
4) Send the Ringless Voicemail to a List
Click Contacts in the left menu.
Open All Contacts or a specific Smart List.
Select the contacts you want to include.
If your list spans multiple pages, click Select All so everyone is included.
Click Trigger Automation in the action bar.
Give the action a clear name, for example:
2025-11-11 Ringless Voicemail, Christmas Invite
Under Type, choose Workflow.
Select your Ringless Voicemail workflow.
Sending Options
- Send all at once or schedule for a specific time for smaller lists
- Use drip mode for large lists to protect deliverability
5) Use Drip Mode (Recommended for Large Lists)
You can drip messages two ways.
Option A: Drip from Trigger Automation
- Choose the drip option in the Trigger Automation modal
- Set how many voicemails send per batch
- Set how often each batch sends
Option B: Drip Inside the Workflow
- Open the Ringless Voicemail workflow
- Add a Drip step before the voicemail action
- Configure it, for example, send 20 per minute
- Click Save
Drip mode helps prevent carriers from flagging your campaign when sending to large lists.
Notes
- Always test on your own number before sending to your whole church
- Use a warm, personal tone. Think pastor inviting, not robocall blasting
- Avoid sending thousands all at once when possible
