1. Open the Correct ChurchFuel Account
Go to beta.churchfuel.com.
In the sub-account search bar, type the church name—for example: Discover Church, Kansas City.
- Important: Make sure you select the correct church if multiple have similar names.
2. Check the Dashboard
Once the church loads, the Dashboard (top menu item) should already be selected.
Scroll down and review:
Google Ads Report:
Ensure money/number values are showing.
Facebook Ads Report:
This may be blank if the church is not running Facebook ads.
Google Analytics Report:
Make sure a graph with data is visible.
If Google Ads or Analytics data is missing, it may indicate incorrect account connections.
3. Check Integrations
Click Settings (bottom of the left menu).
Scroll down to Integrations (about five items from the bottom).
Review the following:
Google Account (second column)
Confirm:
The correct names appear.
- Numbers are populating.
- Adwords MCC Account ID
Adwords Client Account ID
Status shows Connected.
Google Business Profile (fourth column)
Confirm:
Status shows Connected.
Facebook (Meta) Integrations (fifth column)
Confirm:
The correct names appear in both boxes (according to Active Campaign)
- All three connection indicators are green.
- Click Settings under Facebook, ensure both toggle switches are on.
- If anything was changed, click Connect at the bottom.
4. Check Marketing Settings
Click Back to return to the main side menu.
Scroll to Marketing and select it.
At the top, click Ad Manager (far right tab).
Click the Settings gear icon in the top-right corner.
Meta Settings
In the sidebar, select Meta. - Ad Account
It’s okay if it says “No payment method.”
Confirm the church name appears (indicating an active account).
Click Pages (right next to "Ad Account").
Confirm the church name appears.
Ensure the page is marked as Connected.
Google Settings
- Continue to the Google Ads section → Ad Account
- Confirm the church name appears
Ensure the Account Status shows “Active”.

1. Navigate to the Automation Section
Start from the Church Dashboard.
In the left menu under Marketing, click Automation.
Important: There are two Automation sections.
- Use the one under Marketing (NOT the one under Settings).
2. Search for the Automation You Need to Check
In the search bar, type “key” (this will bring up all keyword-based workflows).
- Click the workflow you want to review (example: Prayer Request).
- Prayer Request
- Christmas Plan
- Connect Card – Step
- Jesus New Believers – Keyword
- Plan Your Visit – Step 1 – Keyword
- Survey – Step 1 – Keyword
- Welcome Party – Step 1 – Keyword
3. Review the Trigger Settings
Scroll up until you see the Trigger titled “Facebook comment on a post.”
Click the trigger to open the settings.
Verify the following:
Trigger Requirements
Page:
Ensure the church’s Facebook page is selected.
If not, click the dropdown arrow and choose the correct page.
Exact Match:
Confirm the keywords listed under “Exact Match” remain intact to Keyword (For Example Christmas)
Post Type:
Should be set to Published Post.
Post (4th Line):
The fourth line labeled Post should be deleted.
If present, remove it.
Click Save Trigger if you made any changes. Otherwise just click Cancel then Confirm or Back to Workflows.
If a second “Save” button appears at the top, click that as well.
- (If the workflow is unpublished, do NOT publish it.)
4. Return to the Workflow List
Click Back to Workflows (top left).
- Click Back again until you return to the main screen where the search bar is visible (it will show “Home” at the top).
5. Repeat the Steps for All Required Automations
Type “key” again in the search bar.
Repeat the exact same review process for each of the following workflows:

Open the workflow (e.g., Plan Your Visit).
Scroll down, click Facebook comment on a post trigger.
Verify:
Correct church page selected
Post type = Published Post
Fourth line (Post) not present
If everything looks correct, no changes needed.
- Click Back until you return to the home search bar.
Custom Values Quality Check — Step-by-Step Instructions

1. Open the Church Account
Go to beta.churchfuel.com.
In the top ChurchFuel selector bar, type the church name.
- Make sure you select the correct church.
2. Go to Settings → Phone
Scroll to the bottom of the left menu and click Settings.
Click Phone System.
Confirm:
The purchased phone number is displayed.
The compliance indicator (A2P Verified) shows green.
- Copy the purchased phone number for comparison without the country code.
3. Go to Custom Values
In the left Settings menu, click Custom Values (about three items below Phone).
Set Rows per page → 100 so all values are visible.
Use the search bar to type “phone” and confirm:
- The phone number value matches the purchased phone number.
- If it does not match, update to purchased phone number that you copied and click Update.
4. Review Each Custom Value Field
Go down the list and check each section for accuracy by removing phone keyword
General Church Information
21 Days of Hope Campaign Name → Value should be: 21 Days of Hope.
Background → Must contain a background photo link.
Casual City Name → Usually the city name (e.g., “Nashville,” “Indy,” etc.).
Church Address 1 → Street address.
Church Address 2 → City, State Abbreviation, ZIP (no comma after state).
State → Must be abbreviation (e.g., OH, TX).
Church Name → Correct church name.
Church Phone Number → Should match purchased number (checked earlier).
- Church Website → Full URL including https://
Connect Card & Communications
Communications Agreement → Must contain: By submitting, you agree to receive church emails and texts. Unsubscribe via the email link or text STOP. Message & data rates may apply.
Connect Card Keyword → Default is New. Should be copied from the custom values spreadsheet but DOES CONTAIN
- Cannot be visit or welcome (conflicts with other automations).
Seasonal Items
- Add “Easter” values. Easter Name will need to be filled in for Easter Page to work correctly.
Facebook & Google Links
Facebook Page → Should contain the correct page URL.
- Facebook Review Link → Use the Facebook page URL + /reviews.
If not working, hide button (later under pages)
Google Review Link: Check to see if the link is there. If not:
Click Reputation in the main menu.
Click Settings (top right).
Click Get Reviews on Google.
Select the correct church (if needed).
- Copy the link and paste it into the custom value.
Photos & Media
Each of these must contain valid links (usually media storage URLs):

If missing, check Media Storage, copy link, and paste here.
You can generate or download a favicon if needed.

Logos
Logo Black (this is actually the WRONG field to use):
The logo color should be placed here.
If only one logo exists → use that one.
- Other logo fields may also be filled, but the color logo in Logo Black is required for page population.
- Logo should have icon and church name, preferably in landscape
Mission & Vision
Mission Statement (REQUIRED)
2–3 sentences.
Should not repeat church name.
Should explain the mission clearly.
- Vision Statement → Optional but may be filled.
Plan Your Visit (PYV)
Required:
PYV API
PYV Coordinator Email, Name, Title
- PYV Sender Name / Sender Email (can be church name if no individual is provided)
Pastor Information
Check pastor info is filled in:
First Name
Last Name
Title
- Verify accuracy by checking the church website (many are incorrect).
Brand Colors
Primary Color (REQUIRED)
- Cannot be black (#000000) or white (#ffffff)
- Secondary Color (optional)
Service Times
Should be clean and concise. Think Main Service-Weekend only, not Bible Studies, AWANA, etc.
Remove long paragraphs or unrelated events.
- If multiple campuses exist, ensure formatting is clear.
Simple Church URL
Must be present.
This is the church website WITHOUT https:// and WITHOUT a trailing slash.
- Example: discoverchurchkc.com
Small Groups Name (REQUIRED)
Must be plural (e.g., “Small Groups,” “Bible Studies”).
If church does not have groups:
Enter Small Groups
- Note this for the team so ads are not run to this page. Add to Quality Check spreadsheet on that page.
Special Events
- Usually blank unless active—but Special PYV API must be filled.
Subdomain
Usually: visit.
Occasionally may be “explore.”
- Must be filled.
Video Links
YouTube Page → Must be included if they have a YouTube Channel
YouTube Sermon Link
If link includes /live, replace with:
/watch?v=VIDEO_ID
Vimeo Sermon Link → Use ONLY if church uses Vimeo.
- If Vimeo is used, delete YouTube sermon page.

Welcome Party
Welcome Party Name must be filled.
- For traditional churches, you may use Meet & Greet instead of “Party.”

Quality Checker Tool — Step-by-Step Instructions

1. Open the Quality Check Tool: Quality Check Tool
In the spreadsheet, look at the bottom tabs.
- Select “Master Sheet” (not the individual church tabs).
2. Open the QC Link Checker
At the top menu, click QC Link Checker.
- Select Open Sidebar.
3. Get the Simple Church URL
Go to beta.churchfuel.com.
Search for the church name.
Click Settings.
Scroll down to Custom Values.
- Locate the Simple Church URL (also found on the Business Profile).
4. Enter Church Information in the Sidebar
In the Quality Checker sidebar:
Under Church Name, type the exact church name (e.g., Discover Church KC).
Under Church Domain, paste the Simple Church URL.
Click Run Link Check.
The scan usually takes about 60 seconds.
5. Review Link Check Results
Look at Column C (Status).
Green checks mean the page is connected and loading correctly.
- Note: All green checks is a good sign, but you must still manually verify pages.
6. Manually Check Pages
Click each page listed in the tool.
Verify:
Buttons go to the correct destinations.
Content belongs to the correct church.
- Forms work and load properly.
7. Log Issues for the Branding Team
If you find an issue (example: blurry image):
In Column C, type what needs to be fixed.
Example: Welcome page photo is blurry. Please switch out.
- Scroll down and click Create to send the task to Basecamp.
8. Finish Review
After logging any issues and confirming all pages work correctly, the quality check for that church is complete.
Website Page Quality Check — Step-by-Step Instructions

This checklist begins after you’ve already used the Quality Checker Tool to pull up all links.
1. NEW / “NEW HERE” PAGE
Check:
Logo
Should be a color logo if one exists in Media Storage.
If the logo appears black or incorrect, copy the correct color logo link from
Media Storage → brand → logos and paste it into the Black Logo custom value.
Ensure minimal white space above/below logo.
Preferred: icon + text side-by-side (not stacked).
Favicon
Click away from the page to confirm the favicon appears.
Should be a clean icon only (no words, no white box).
If incorrect → create a task: “Fix favicon (white box / unclear icon).”
“Plan Your Visit” Buttons
Click both “Plan Your Visit” buttons (top + bottom).
Both must go to the same functioning Plan Your Visit page.
If it’s not you’d see unable to populate this form message
If the bottom button does not work → API missing → add API under Custom Values.
- Click bubble on bottom right
Banner Image + Photos Behind “new here”
Photo should be clear, not blurry.
Heads shouldn’t be excessively cut off.
If background photo is missing (behind service time and location address) a black bar appears → add Background photo in Custom Values.
Service Times & Address
Must be accurate, short, clear, and readable.
Format:
Sundays at 9 AM (what they give us)
Address format:
City, ST (no comma after state)
Campus Count
- Ensure number of services/campuses displayed matches actual church information. (You would have noticed this in service times in custom values)
2. HOME PAGE
Check:
Pastor Headshot Section
Pastor name appears.
Pastor title appears (“Lead Pastor”).
Photo must be of the actual pastor.
If the speaking photo is someone else → create a task.
Mission Statement
2–3 sentences.
Clear, concise.
No repetitive intro phrases (“Our mission is…”).
Must avoid confusing religious jargon.
Create task for team by typing in Column E and click down arrow to Create To Do in column F
Photos
Clear and not blurry.
Other Sections
Service Times & Address (already checked on New Page but confirm match).
- Head spacing (no cut-off heads).

3. ABOUT PAGE
Check:
Mission statement same rules as home page:
2–3 sentences, clear, no repetition.
- Photos clear.

Ensure images are clear and not distorted.
- If not featuring kids, note the team or replace.
5. GROUPS PAGE
Check:
Keyword must be plural — “Small Groups”
Sentences must make grammatical sense:
“Our small groups are …”
Photos clear.
- Check heads not cut off (since some pages don’t scroll).
6. PASTOR PAGE
Check:
Pastor name.
Pastor title.
Speaking photo should ideally match the pastor.
- If mismatch → create a task.
7. WELCOME EVENT (Welcome Party) PAGE
Check:
Welcome Party keyword must appear.
Click the button and ensure:
Form loads.
No “Unable to find form” error.
- If missing → add under Welcome Party Name in Custom Values.
8. PRAYER PAGE
Check:
Button works.
- Button leads to correct Prayer Request Form.
9. LINKS PAGE
This page checks multiple items at once.
Click through every button:

Online giving —> DELETE (Goto software and sites on dashboard page, click website at the top, double click communications system, link list, edit, select Online giving, trash can, save, wait and click publish

Connection Card → connection form
Jesus → Jesus Page → check form (“I want to follow Jesus”)
Leave a Review – Google
Must open Google review popup.
Leave a Review – Facebook
Must open Facebook review section.
- If reviews are disabled → hide Facebook review button.

Check:
Button should lead to the correct Updates form.
- If "unable to find form" → add correct form link in Custom Values.
11. SERMONS PAGE
Check:
Page loads without 404.
Sermon video loads and plays.
If 404:
Check Custom Values → sermon
If Vimeo is used → make sure YouTube page is deleted.
- If link uses /live → change to watch?=
12. SURVEY PAGE
Check:
Page loads successfully.
- Ensure favicon shows correctly (if default gray globe appears → missing favicon custom value).
13. BELIEVER PAGE
Check:
- Click Download the Guide → form must work.
14. BRAND PAGE
Optional check (not required for ads)
Confirm colors and logos are correct.
- Photos clear.
15. ARTICLES PAGE
Check:
Click the last 3–4 most recent articles.
Ensure:
Page loads.
Pastor name shown.
Pastor title shown.
Service times shown.
Location shown.
If it's a new site → click through all article buttons.
16. HOLIDAY / SPECIAL PAGES
Check:
- Christmas, Easter, etc. pages (if active).
- Make sure Easter is filled in
